Pool Follow Ups ♻️

🕑 Target launch: March, 2024

📩 Sending Follow-Ups with Ethnio Pool: If you've sent a distribution from the Ethnio Pool, you have the capability to quickly send 1-5 follow-up emails to the same audience with logic to exclude people that have already signed up, blocked by eligible rules, etc. These follow-ups can even be set to recur automatically, boosting your response rates. Here are some key points to note:

1️⃣ Targeting Specific Audiences: Here's a bit more about the built-in logic that ensure your follow-ups reach the right people:

  • 🚫 Exclude people that have already clicked the original distribution and signed up for your study, completed an external survey, etc.
  • 🚫 Exclude those that are blocked by eligible Pool Rules below
  • 🚫 Exclude failed or dropped emails from the original email.

2️⃣ Eligibility for Follow-Ups:

  • ✅ Recipients of your initial distribution can get only one follow-up
  • ❌ Each person in your Pool is limited to just one follow-up.

3️⃣ Pool Rules Adherence:

  • ⚙️ Follow-up emails will still adhere to almost all Pool Rules - restricted tags, opt outs, etc.
  • ❄️ However, 'cool down' periods are an exception. They must be bypassed, or else no one would get a follow-up.

Timing & Recurrence

Any sent distribution is eligible for follow ups, and you can send one follow-up or schedule up to five recurring follow-ups based on an interval you select. For example, if you emailed 1,000 people an invite to a study, you can setup two follow-ups to anyone that opened but did not click, and send them 1 day apart. Of course you can create a Pool email template with follow up language.

Rules

Rules ignored for a Follow Up

Rules applied to Follow Ups

Cool Down from Scheduled Interview Opted Out
Cool Down from Pool Email Restricted Tag
Incentive Limit
No Shows
Bounced, failed, complained
Each recipient of a follow up can only be emailed once
💡 Note that if a potential recipient is blocked by rules in the 1st distribution, they won't be eligible to receive follow ups

Audience (filtered automatically)

You can follow up with the entire successful audience of a past distribution, or select a common way to narrow down the audience. This is meant to be a fast way to get back in touch, but to do more complex filtering and emailing, you can always use filters and turn off cool down rules to email a more complex audience.

  1. Opened but did not click
  2. Did not open
  3. Clicked something
  4. All Recipients

Example numbers for a Follow Up 🔢

Let's say your original distribution had 1,000 people selected from Pool, but after it was sent, you had the following:

➖ 500 bounced, failed, or invalid emails
➖ 50 people opted out
➖ 10 people were no shows
➖ 50 people were tagged with a restricted tag
