The steps in study progress and historical statuses in responses

When running any research study, participants move through multiple steps. These steps are shown as Study Progress inside your study overview or template overview, and depend on your study type and publishing type. If you publish as a web intercept, there will be a step around total impressions to your intercept, as one example.

🧭 Templates show potential study progress

If you head to your template overview, you'll see the steps for future study progress. Any future studies created from the template will show actual progress, but there's never any progress within a template. It's just a template after all.

The steps in your study also roughly match historical statuses in Responses, because both have to do with participants moving through stages over time. The same person can be invited, qualified, confirmed, paid, etc.


You’ll see this progress tracked in two ways:

  1. Study Overview > Progress – shown in the progress bar at the top of your Study Overview, giving you a quick snapshot of how your study is moving along.


  1. Responses > Historical Statuses – shown in the Responses dashboard, giving you more detailed information about each individual participant, even as the same person goes from Completed to Paid.


Each step in Study Progress or Responses

The terms here mean the same thing and are used in two places.


👀 Intercept Impressions / Conversion

The traffic sent to Ethnio code measured in pageviews, which are not views of your intercept. This measures back end traffic, not views or clicks.


👁️ Study Views

This is the number of times your study was actually shown to people. Similar to unique views in the world of web analytics.


📝 Responses

This is the total number of people who responded to your study. It’s normal for this number to be lower than views since not everyone who checks out your study will complete it. It doesn't mean someone qualified or completed, just responded.


📅 Invited to Schedule

This shows how many participants you’ve emailed to pick a time on your study calendar. This includes participants that were invited to pick a specific time.


🤝 Interviews Confirmed

This is the number of participants who locked in a session by confirming a time. This could have been through an email invite or manually confirmed..


🗣️ Interviews Completed (sometimes just Completed)

This is the number of participants who showed up and finished their interview session. Once they’ve completed the meeting with the facilitator, they’ll be counted here.


💸 Incentives Paid or Sent

This shows how many rewards you’ve sent out to participants. It’s the total number of incentives issued from your study, regardless of whether they’ve been claimed yet.


✅ Qualified

Participants who meet your study’s criteria and are a good fit to take part. Qualification is based on screening logic and your predefined requirements like age, location, device, etc.


🙌 Completed

This is how many people fully finished your study from start to end. Depending on your setup, it might mean completing an interview or a survey — basically your “all done” number.


💳 Paid Externally 

This is for participants who received their incentive outside of Ethnio. Use it when you’ve handled payment on your own, whether it's Swag or Money, but still want to track it in the system.


🙅‍♂️ No shows

Mark any participants as no-show if they failed to attend the session. This will show you how many participants may need a follow up email.
