Study Progress & Participant Statuses

When running a study, participants move through multiple stages. These statuses help you track progress, manage logistics, and ensure smooth scheduling and paying. They also help keep your research organized and give you a clear view of where each participant stands in the process.

Below is a breakdown of what each status means in your Response dashboard:


Response

Any screener submitted via a link or intercept.


Incomplete

Responses with more than three blank answers. That means if someone doesn't fill out most of the screener, it is marked as incomplete. Ethnio automatically marks responses that are not fully completed as "incomplete" so you can separate those out and hide them if needed.


New

Participants that respond to your study are considered a "New" response.


Qualified

Participants who meet your study’s criteria and are eligible to take part. Qualification is based on screening logic and your predefined requirements.


Clicked Through: Participants who clicked on a third-party link in your study and were sent to an external research tool (e.g., Qualtrics or SurveyMonkey). Only applies if you have setup branching logic to send participants to a third party tool.


Interview Completed (sometimes just Completed)

Participants who were scheduled, attended, and successfully finished their session. 


Completed (via 3rd party tool)

Participants who completed your study via a third party tool.

Dismissed: manually add this status if you called someone but didn't want to use them.

Favorite: mark them with a favorite-heart for later (this also show up on Scheduling).

Called: called a participant, but didn't schedule them yet.

No Answer: called a participant, but they didn't answer.

Not Available: called and they couldn't participate.

Paid: 
Any responses, historically, who have been paid incentives.

Paid Externally: paid a recipient an incentive outside of Ethnio.

No show: mark any participants as no-show if they failed to attend the session. This is extremely important both for tracking and for using the "Pay Completed" option from incentives.


Many of these statuses update automatically, but you can always click on the status to make manual changes as well.
