Declining a participant 🙅

Sometimes a participant qualifies or picks a time, but your study is already full. Here's how to decline them in Ethnio.

Decline someone who is invited but not confirmed ✋

Cancel their invite to reopen the slot.

Go to Responses, find the participant, and cancel their invite. The time slot reopens for someone else.

Decline someone who is already confirmed 🗓️

Cancel their session from Responses.

Go to Responses, select the participant, and cancel their confirmed session.

Send a "study is full" note ✉️

Email everyone you are turning away at once.

Set up a Pool segment of people who completed your screener but were never scheduled, and a Pool email template (for example "Interested But Unscheduled"). Send that template to let them know the study is full and thank them for their interest.
