📅 Sending a Scheduling Link Outside of Ethnio
If participants can't receive Ethnio emails due to company firewalls, or you have contact information for them that isn't stored in Responses, you can still get them a scheduling link manually. Here's how.
🔗 How Scheduling Links Work
In Ethnio, the scheduling flow is built into the study link itself — there's no standalone scheduling URL separate from a study. That means the best way to share a scheduling link outside of Ethnio is to set up a study that's designed specifically for that purpose.
✂️ Option 1: Create a Scheduling-Only Study
Create a new study and strip it down to just the essentials: a name question, an email question, and the scheduling question. Remove any other screener or survey questions.
Once that is set up, you'll notice a Preview and Share icon in the upper right hand corner, under your name:

You can grab the study link when clicking any one of these icons, then distribute it manually through whatever channel works for your participants — SMS, or an external email tool such as Gmail and Outlook.
This gives participants a clean way to see your availability and book a time.
🔄 Option 2: Repurpose an Existing Study
If you already have a study with the right availability set up, you can modify it temporarily to act as a scheduling-only flow. Remove all questions except name, email, and the scheduling question. Then share the existing study link directly with your participants.
Keep in mind: if this study is also used for initial recruitment invites, switching it to a scheduling-only flow will affect those existing emails — so it's worth creating a separate study (Option 1) if you need both workflows running at the same time.
🛡️ Long-Term: Improve Email Deliverability with DKIM
If the underlying issue is that Ethnio emails are being blocked by your participants' company firewalls, configuring DKIM is the most effective long-term fix. Without it, emails go out from Ethnio's default domain (info@ethn.io ) rather than your own, which makes them more likely to be flagged.
Setting up DKIM routes emails through your own domain, which significantly improves deliverability. Work with your IT or security team to get this configured — full instructions are here: Domain Verification (DKIM) 🔐
