Adding and editing interview spots on your calendar: three approaches

There are three ways to add or edit interview spots for participants to then select. You do this from scheduling > calendar. They are:

  1. Manually add spots - click to add interview spots or edit them by clicking each spot
  2. Bulk add interview spots - set a start date, end date, start time, end time, buffer, and more
  3. Rolling times - specify days in the future to always have available times

You can easily get to these from quick setup 🚀 under scheduling > calendar > add times.

Approach #1: Manually add times

This is simple - form scheduling > calendar, click anywhere on your calendar to add an open interview time. That's it.

If you want to add a time that's a different duration, just grab the bottom of the time and drag up and down:

Approach #2: Bulk add interview spots

Now let's say you want to bulk add a bunch of times when your availability follows a predictable pattern. Click Create Schedule > Add Interview Spots.

The same type of bulk add is available for add backup spots if you've enabled backups/alternates for your study. Then add your start and end date, start and end time, and the buffer between times:



Pick Dates The start and end of the date range to generate spots within. Spots are only created on days that fall inside this range and match your selected days of the week.

Set Times The earliest and latest each day a spot can start. For example, 8:00am to 6:00pm with 1-hour interviews means the last spot of the day starts at 5:00pm.

Days of the week Tick the days you want to include. Days you leave unchecked are skipped, even if they fall inside your date range — useful for excluding weekends or specific weekdays you want to keep clear.

Length of Each Interview How long each spot lasts. This determines how many spots fit inside the daily time window you set.

Number of participants is 1 participant for 1:1 interviews, and 2 or more for focus groups or group sessions.

Buffer between times Adds a gap between back-to-back spots — useful for note-taking, breaks, or session overrun. Set to No for no buffer, or pick a duration (e.g., 15 minutes).

Facilitator The team member running the interview. Defaults to the study lead; pick a different facilitator if someone else will run these sessions. You can change facilitators per-spot later.


Tips

  • Start small. Generate a few days first to confirm timing looks right, then extend the range. You can bulk-delete spots if you over-generate.
  • Check your time zone. Spots are created in the calendar's current time zone (shown in the top-right). Switch the time zone before generating if you're scheduling across regions.
  • Buffers reduce spot count. A 1-hour interview with a 15-minute buffer takes up 1h 15m per slot, so you'll fit fewer spots in the window than you might expect.
  • Check facilitator availability after. Bulk-generated spots don't pre-check the facilitator's external calendar. After generating, use Check for conflicts in the left sidebar to spot collisions with existing meetings.
  • Mix bulk and manual. After generating, you can still drag, resize, or delete individual spots on the calendar. Bulk generation is a starting point, not a lock-in.
